Position Overview: Elev8 Events is seeking a detail-oriented and proactive Home-based Scheduling Assistant to join our team. The Home-based Scheduling Assistant will play a pivotal role in coordinating travel itineraries, managing appointments, and ensuring smooth communication between clients, vendors, and internal teams. This position offers an exciting opportunity to contribute to the success of our clients' journeys while working in a fast-paced and collaborative environment.

Key Responsibilities:

  1. Travel Itinerary Management: Collaborate with our travel advisors to create detailed itineraries for clients, including flights, accommodations, activities, and transportation.
  2. Appointment Scheduling: Coordinate appointments, meetings, and consultations with clients, vendors, and partners, ensuring optimal timing and efficiency.
  3. Client Communication: Serve as a primary point of contact for clients, providing timely updates, answering inquiries, and addressing concerns related to scheduling and itinerary details.
  4. Vendor Coordination: Liaise with hotels, airlines, tour operators, and other vendors to confirm bookings, resolve scheduling conflicts, and ensure all arrangements align with client preferences.
  5. Calendar Management: Maintain accurate calendars for travel advisors and executives, scheduling appointments, meetings, and travel arrangements as needed.
  6. Documentation and Record-Keeping: Organize and maintain comprehensive records of travel itineraries, appointments, and communications, ensuring accessibility and confidentiality as required.
  7. Problem Solving: Identify and resolve scheduling conflicts, logistical challenges, and other issues that may arise, demonstrating resourcefulness and a proactive approach to problem-solving.
  8. Collaborative Support: Work closely with other members of the Elev8 Events team to provide seamless support and exceptional service to clients, contributing to a positive and collaborative work environment.

Qualifications:

  • Previous experience in a scheduling, administrative, or customer service role, preferably in the travel or hospitality industry.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
  • Strong communication skills, both written and verbal, with a customer-centric approach to client interactions.
  • Proficiency in calendar management software, Microsoft Office Suite, and other relevant tools and platforms.
  • Flexibility and adaptability in a fast-paced and dynamic work environment, with a positive attitude and a willingness to learn.
